This policy explains how NY AI Summit handles information connected to accounts, attendee profiles, registrations, and payments for the WNY AI Education Summit.

Information We Collect
We collect the information needed to create accounts, manage registrations, and run the event.
- Account information, including your first and last name, email address, and authentication status.
- Password and sign-in credentials handled by Firebase Authentication. We do not store your password in our own site database.
- Google sign-in information if you choose to sign in with Google.
- Attendee profile details, including organization, role, grade bands, US or Canadian phone number, T-shirt size, AI experience level, topic interests, and summit goals.
- Communication preferences and consent records, including separate choices for future marketing email and recurring automated marketing text messages, the phone number associated with the SMS choice, and when and under which consent version each answer was submitted.
- Registration and ticket information, including registration status, payment status, receipt links, and related Stripe customer, payment, or checkout identifiers.
- Technical and security information from Firebase, Stripe, hosting, logs, cookies, local storage, session storage, device/browser details, and IP addresses.
Payments
Payments are processed through Stripe Checkout or related Stripe payment services. NY AI Summit does not store full payment card numbers or card security codes on this website. Stripe may collect payment details, billing details, device information, and transaction information to process payments, prevent fraud, provide receipts, and meet legal and financial obligations.
We may receive payment status, receipt URLs, customer IDs, checkout session IDs, payment IDs, and similar records needed to confirm your registration and support your account.
How We Use Information
- Create and manage your account.
- Verify your email address and support password reset or sign-in requests.
- Collect attendee profile details and prepare event materials.
- Plan sessions, attendee materials, T-shirt sizing, and event-day communications.
- Process registration, payment, receipts, and ticket status.
- Send operational event, account, registration, support, and urgent event-day communications. If you separately opt in, we may also send future AI workshop and training emails or recurring automated promotional text messages.
- Protect the site, prevent fraud or misuse, debug problems, and maintain reliable service.
- Meet accounting, tax, dispute, security, and legal obligations.
Communication Choices
Marketing email and text-message choices are optional and do not affect registration or purchase. You may choose No for either channel. You can unsubscribe from marketing email at any time. For marketing texts, reply STOP to opt out or HELP for help; message frequency varies and message and data rates may apply. We may still send non-marketing messages needed for your account, payment, registration, or this event.
Service Providers
We use service providers to run the website and event registration system. These providers process information on our behalf or as part of their own payment, security, and infrastructure services.
- Firebase and Google services for hosting, authentication, database records, app security, and operational logs.
- Stripe for checkout, payment processing, fraud prevention, receipts, and payment records.
- Google Calendar only if you choose to open the calendar link from the attendee dashboard.
Sharing
We do not sell or rent personal information. We may share information with service providers, event operators, or support personnel when needed to operate the summit, process registrations, provide assistance, protect the site, comply with law, or respond to lawful requests.
Cookies and Local Storage
The site and its service providers may use cookies, local storage, session storage, and similar technologies for authentication, security, checkout, fraud prevention, and basic site operation. The current site code does not include marketing analytics or advertising pixels. If those are added later, this policy should be updated before they are used.
Retention
We keep account, attendee, registration, payment, and support records for as long as needed to operate the event, provide receipts and support, prevent duplicate or fraudulent activity, maintain business records, and satisfy accounting, tax, dispute, security, and legal obligations.
When an email/password account is created, we temporarily retain the signup record so email verification can be completed across devices. If the email remains unverified, that registration draft is deleted after 24 hours.
Your Choices
You can review or update attendee profile information in the attendee dashboard. You can contact hello@nyaisummit.com to request access, correction, or deletion of your information. We may need to retain certain records where required for event operations, security, accounting, payment disputes, or legal compliance.
Security
We use reasonable administrative and technical safeguards, including authenticated access, Firebase security controls, and Stripe payment processing. No website or internet transmission can be guaranteed to be completely secure.
Age Requirement
Accounts, purchases, registrations, and participation are intended only for people who are 18 or older. Do not create an account, register, purchase a ticket, participate in the event, or submit personal information through this website if you are under 18.
Changes and Contact
We may update this policy when our website, registration process, service providers, or legal obligations change. The effective date above will reflect the latest version.
